Executive Administrative Assistant to Campus Pastor-Fort Worth
The Executive Administrative Assistant to the Campus Pastor is pivotal in delivering high-level administrative and operational support to the Campus Pastor of The Potter’s House of Fort Worth. This role serves as a crucial liaison between the Campus Pastor, church leadership, staff, congregation, and external stakeholders, ensuring seamless coordination of daily operations and alignment with the mission and vision of The Potter’s House.
Duties & Responsibilities: Responsibilities including but not limited to:
- Manage calendar: schedule meetings, appointments, and speaking engagements.
- Coordinate travel: book flights, accommodations, and transportation.
- Prepare and organize correspondence, reports, presentations, and meeting materials.
- Maintain accurate records and documentation.
- Primary contact for inquiries and correspondence.
- Draft and proofread emails, memos, and other communications.
- Facilitate communication between the Campus Pastor, staff, ministry leaders, and external contacts.
- Plan and execute meetings, events, and special projects.
- Prepare agendas, take notes, and follow up on action items.
- Coordinate logistics for church events, conferences, and outreach programs.
- Collaborate with ministry teams for seamless execution of programs and initiatives.
- Assist with budget tracking and expense reporting.
- Manage sensitive and confidential information with integrity.
- Anticipate and address administrative and operational challenges.
- Implement process improvements for efficiency.
- Stay informed of church policies, procedures, and key initiatives
- Ensure availability for occasional evenings, weekends, and holidays to support church events and programs.
- Maintain a flexible schedule based on the needs of the Campus Pastor and the church.
Basic Qualifications:
- Bachelor’s degree in business administration, communications, or a related field preferred.
- Minimum of 3–5 years of experience as an executive assistant or in a similar administrative role, preferably in a church or nonprofit environment.
Preferred Qualifications:
- Strong organizational and time-management skills, with the ability to prioritize and multitask in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with church management software (e.g., Planning Center or similar systems).
- Exceptional interpersonal skills, with a professional and positive demeanor.
- Ability to work both independently and collaboratively as part of a team.
